Your trust matters here. This policy explains, in plain language, what information SMART IEP Solutions collects, how it is used, who it is shared with, and how long it is kept, including the IEP documents you may choose to share.

Who this policy covers

SMART IEP Solutions LLC ("SMART IEP Solutions," "we," "us," or "our") provides preparation and support for parents getting ready for an IEP meeting. This policy applies to smartiepsolutions.com and the services offered through it. It does not cover any third-party website you may reach through a link from ours.

Information we collect

Information you give us

  • Contact and intake details. When you fill out the intake form or book a consultation, we collect your name, email address, and the information you choose to share about your child's situation and your upcoming meeting.
  • IEP documents you upload. If you choose to use the secure upload, the documents you send (which may include your child's IEP, evaluations, and related school records) are collected so that we can review them and prepare you.
  • Scheduling details. When you book a call, our scheduling provider collects the information needed to set up the appointment.
  • Payment details. When you pay for a service, payment is processed by our payment provider. We do not receive or store your full card number.

Information collected automatically

Like most websites, our marketing pages use analytics tools that may collect usage information such as pages visited, referral source, general device or browser type, and on-page interactions, sometimes using cookies or similar technologies, to help us understand what is useful. The secure intake and upload portal is kept separate from these marketing analytics.

Your child's documents

We treat the documents you share as sensitive. They are used only to prepare you for your meeting and to support you through the process you have engaged us for. We do not sell them. We do not share them with your child's school or anyone else, except with the trusted service providers that store and secure them for us, and only as needed to provide the service to you. We do not otherwise disclose them unless you ask us to or the law requires it. Uploaded files go directly into private, access-controlled storage. By sharing a child's records, you confirm that you are that child's parent or legal guardian, or are otherwise authorized to share them. See "How long we keep information" below for retention.

How we use your information

  • To review your situation and prepare you for your IEP meeting.
  • To communicate with you, schedule calls, and answer your questions.
  • To process payments for services you request.
  • To improve our website and the help we offer.
  • To meet legal, tax, and record-keeping obligations.

Who we share information with

We do not sell your information. We share it only with the trusted service providers that help us run the business, and only as needed for them to do their job:

  • Website hosting and security
  • Secure document storage
  • Appointment scheduling
  • Email delivery
  • Payment processing

We use these providers under agreements or terms that limit them to providing their service to us, and we ask them to protect your information. We may also disclose information if required by law or to protect someone's safety.

How we protect information

Our website and secure upload use encrypted (HTTPS) connections, and uploaded documents are stored in a private, access-controlled location. No method of storage or transmission is perfectly secure, but we take reasonable steps to protect what you share and to limit who can see it.

How long we keep information

We keep your information for as long as we are working together and for a reasonable period afterward. For documents tied to a completed engagement, our standard practice is to remove them within roughly 90 days after the work is closed, unless you have asked us to keep them longer or the law requires otherwise. You can ask us to delete your information sooner (see below).

Your choices and rights

You can ask us to see, correct, or delete the information we hold about you, or ask us to stop contacting you. To make any of these requests, email xaviera@smartiepsolutions.com. Depending on where you live, you may have additional rights under your state's privacy laws; we honor those rights where they apply.

Children's privacy

Our service is for parents and guardians, not for children. While the documents you share may concern your child, the website and services are intended to be used by adults. We do not knowingly collect information directly from children.

Cookies and analytics

Our marketing pages may use basic cookies or similar tools to understand general site usage. You can control cookies through your browser settings. The secure intake and upload portal is kept separate from marketing analytics.

Changes to this policy

We may update this policy from time to time. When we do, we will change the effective date at the top. If the changes are significant, we will make a reasonable effort to let you know.
